Availability & Status
About This Course
See what is full and what is left across every tour in one grid, filter to the departure you need, and open or close a whole stretch of timeslots in a single move, with Undo.
Transcript
The Availability tab shows what is full and what is left across every tour. The Status tab opens or closes a whole stretch of timeslots in one move. Together they answer "do you have room?" and act on the answer.
The short version: Open the Calendar and choose Availability to see spots left in every slot, with full slots in red. Filter by start time to focus on one departure. On the Status tab, drag across slots and choose Open, Private or Closed.
Why this matters
Picture the front desk. A guest asks whether you have room Saturday at noon. You should not open each timeslot to find out. And when plans change, you should not close slots one by one. These two tabs answer the question at a glance and make the change in one action.
Before you start
- Your activities have timeslots.
- Open the Calendar and choose Availability or Status on the bar across the top.
Read availability
Every tour and day appears in one grid. Each cell shows spots left out of capacity. The legend marks Spots left, Almost full, Full (red) and Not scheduled. Use Week or Month to see where the busy stretches are.
Filter to one departure
Select the filter button, choose Start time, and pick the departure you care about, such as noon. The grid narrows to that time across every tour.
Open or close a region
- Choose the Status tab.
- Drag across the slots you want, for example two days of departures. The bar at the bottom shows how many slots you selected.
- Choose Open, Private or Closed. A message confirms the change, with an Undo link.
To reverse it, select the same region and choose Open.
Two examples
The phone call. A guest asks about noon on Saturday. Open Availability, filter to the noon start time, and read the answer across every tour in a couple of seconds.
A boat goes into maintenance. Open Status, drag across the affected departures, and choose Closed. The whole stretch closes at once, and Undo is there if you picked the wrong dates.
Read it carefully
- Closing stops new bookings from coming in. It does not cancel guests who are already booked.
- Check for an active filter if a tour seems to be missing from the grid.

Welcome to TripWorks University. Today, we'll show you how to see exactly what is full and what is left across every tour, and how to open or close a whole stretch of departures in a single move.
Availability and status live in the same calendar too, so what is full, what is left, and what is open to sell are always one click apart.
Picture the front desk. A guest calls and asks, do you have room Saturday at noon? To answer that, you do not want to open every time slot one by one. You want to see everything at once: what is full, what has room, and how many spots are left. And when plans change, you want to act on it right away, not slot by slot.
That is what the Availability tab does. Every tour and every day is laid out in one grid. Open slots show how many spots are left, and full slots turn red, so sold-out departures jump out instantly. Switch from a week to a whole month, and you can see exactly where the busy stretches are, and where you still have room to sell.
Now narrow it down. Open the filter, choose start time, and pick the departure you care about, say noon. The grid shrinks to just that time across every tour, so you can see at a glance which noon departures still have room and which are sold out. That is your answer for the guest on the phone, in a couple of seconds.
When you are ready to act, switch to Status. Say a boat goes in for maintenance, or a charter takes over the weekend. Select those departures by dragging across them, and the bar at the bottom tells you exactly what you have selected. Choose closed, and every one of those slots closes in a single move, with a message confirming what changed. Need them back? Select the same region and choose open.
Because it is all drag and select, it is quick. No menus to dig through and no slot-by-slot clicking. See what is left, narrow to the time you care about, and open or close a whole stretch of departures in one move. Whether it is a quick answer at the front desk or a last-minute change, it takes seconds.
