Bulk-Edit Capacity

About This Course

Change capacity for a whole month at once. Filter the Capacity tab, drag across the days and times you want, then set an exact number or raise or lower capacity by an amount for every selected slot, with Undo if you change your mind.

Transcript

The Capacity tab shows a whole month of capacity in one grid. Select the days and times you want to change, then set an exact number or raise or lower it by an amount, for every selected slot at once.

The short version: Open the Calendar, choose Capacity, and pick Month. Filter if you need to, drag across the cells you want, select Edit capacity, and choose Set to, Increase by or Decrease by. Select Undo if you change your mind.

Why this matters

Demand changes with holidays, private charters and a bigger boat for the season, and the number of guests you can take changes with it. Changing that one timeslot at a time is slow and easy to get wrong. Here you change a whole stretch in one edit and see what changed.

Before you start

  • Each activity already has a capacity model. If you are not sure which one yours uses, see Managing Availability & Capacity.
  • Open the Calendar and choose Capacity on the bar across the top.

See the whole month

Choose Month. Days run across the top, and timeslots run down the side, split by ticket type for activities that use them. Day and Week show the same grid up close.

Select what you want to change

Use the filter to narrow the grid, for example to private departures, then click and drag across the days and times. The bar at the bottom shows how many cells you selected and how many spots they cover.

Edit capacity for the selection

Select Edit capacity. Choose how to change it:

  • Set to gives every selected slot an exact number.
  • Increase by adds an amount to each slot's current capacity.
  • Decrease by subtracts an amount.

Enter the number, check the preview, and apply. Leave a row empty to reset it to the activity's default. Changed cells show the earlier value struck through, and availability recalculates in the background.

Undo a change

After you apply an edit, the confirmation includes Undo. Select it and every slot returns to its earlier capacity.

Two examples

A holiday weekend. Your boat holds 50, and a bigger boat runs for the holiday. Select the holiday dates, choose Increase by, enter the extra seats, and apply. Every selected slot rises together.

A private charter day. Only one start time is taken by a charter. Filter to that time, select the day, choose Set to, and enter the number you can offer.

Read it carefully

  • Resource-based capacity can only be lowered. It comes from your resources, so add resources to raise it.
  • Check the cell and spot count in the bar before you apply.

FAQ

How do I increase capacity for a whole month?

Open the Capacity tab in month view, drag across the days and times, select Edit capacity, choose Increase by, enter the amount and apply.

Can I undo a bulk capacity change?

Yes. The confirmation after you apply the edit includes an Undo link that restores every slot.

Why can't I raise capacity on some activities?

Activities that use capacity by resources take their limit from the resources, so you can only lower it. Add resources to raise it.

How do I change capacity for only one ticket type?

Filter the Capacity tab by ticket type, then select and edit the cells that remain.

Welcome to TripWorks University. Today, we'll show you how to change capacity for a whole month in a few clicks, by selecting the days and times you want and adjusting them all at once, with undo for peace of mind.

Capacity lives in the same calendar as your bookings, so you set limits right where you can see the demand.

Every operator runs into the same thing. Demand changes. A holiday weekend, a private charter, a bigger boat for the summer, and suddenly the number of guests you can take is not the number you set up months ago. Changing that one time slot at a time is slow, and it is easy to miss one. You should not have to click through a hundred slots to change a number.

So capacity is one grid for the whole month, every day across the top and every time slot down the side. You can see exactly what you have set, everywhere, before you change anything.

Then you just select what you want to change. Narrow things down with a filter, like showing only your private departures, then click and drag across the days and times you care about. It is that simple, no checkboxes and no menus. TripWorks tells you how many cells you have selected and how many spots that covers, so you always know what you are about to touch.

Now open the editor. You can set an exact number, or raise or lower capacity by an amount. Say you are adding ten seats across Tuesday to Thursday. Choose increase by, type ten, and apply. Every slot you selected updates at once, and the old numbers stay visible so you can see exactly what changed. Not what you wanted? Undo puts every slot back, so you can make changes with confidence.

And you can work at whatever scale suits the job. Zoom into a single day, look across a week, or plan an entire month, all in the same grid.

So instead of opening slot after slot, you drag, you type a number, and you are done. Capacity for a whole season, handled in a few clicks, right next to your bookings, with Undo as a safety net. It turns a tedious job into something you can do in a minute, and it keeps your numbers matched to your real demand.
