The Calendar

About This Course

The TripWorks calendar brings bookings, guide scheduling, capacity, availability, timeslot status and the Heatmap into one place, with one bar across the top. Switch views, group rows your way, filter and save what you use most, and open or close any slot without leaving the calendar.

Transcript

The TripWorks calendar is one schedule with six views. Bookings, guide assignments, capacity, availability, timeslot status and demand all live on the same calendar, with one bar across the top, so you can answer a question and act on it without changing screens.

The short version: Open the Calendar and use the bar across the top to switch between Bookings, Guides, Capacity, Availability, Heatmap and Status. Change the span with Day, Week or Month, choose what your rows mean, filter, and click any time slot to open or close it.

Why this matters

Running a day means answering several questions at once: who is booked, who is guiding, how many seats are left, which departures are selling. When each answer lives on a different screen, details slip. In the calendar they sit side by side, and what you learn on one tab is one click from the tab where you act on it.

One schedule, six views

Choosing a tab changes the view without reloading the page, and your Day, Week or Month choice carries across.

Change the span: day, week or month

On Bookings, the Day, Week and Month buttons reshape the schedule. Use month for an overview, day when you plan tomorrow, and week for the stretch in between.

Choose what your rows mean

The Rows control groups the same bookings four ways: by activity (each tour on its own line), by time (what departs when), by resource such as a boat, or by guide (who is working). The labels follow your account's own terms, so a helicopter operation sees flights and helicopters.

Filter, then save a view

  1. Select the filter button.
  2. Choose Add a filter, pick Activity, set it to Is one of, and choose the activities you want.
  3. Select Apply Filters. The calendar narrows to those activities, and the filter button shows a count.
  4. Select the save button, name the view, and save. Tick the box to make it your default view if you want.

Open any saved view from the views menu at the top left.

Open or close a slot in place

Click any time slot and its details open on top of the calendar, including who is booked. Use the status menu to choose Open, Open Without Restrictions, Private or Closed. Closing a slot stops new bookings from coming in. The calendar updates straight away.

How the views work together

The tabs follow the way you work. Look at the Heatmap to see where demand is strong or soft. Act on it in Capacity and Availability, and use Status to close what you will not run. Staff the trips in Guides, then return to Bookings to see the day as guests will. You can do that whole loop on one calendar.

FAQ

Where do I manage guides, capacity and availability?

In the Calendar. Use the bar across the top and choose Guides, Capacity or Availability. Each tab shares the same day, week and month controls.

Can I group the calendar by guide or by resource?

Yes. On the Bookings tab, the Rows control groups by activity, time, resource or guide. The labels follow your account, so a helicopter operation sees flights and helicopters.

How do I keep a filtered calendar?

Apply a filter, then use the save button and name the view. Reopen it from the views menu at the top left of the calendar.

How do I close a time slot?

Click the slot, open the status menu, and choose Closed. Closing stops new bookings from coming in. Choose Open to make it bookable again.

Welcome to TripWorks University. Today, we'll show you how to run your whole day from one calendar, where your bookings, guides, capacity, availability and demand are all just one click apart, so nothing slips through the cracks.

We have brought a lot of functionality into one common, unified calendar, so you can do almost everything in one place. See your bookings. See and manage your guide assignments. Look at heatmaps and sell-through rates. Set capacities and limits, and decide which time slots are open, private or closed. Here is a quick look at how it fits together.

It starts with one bar across the top. Bookings. Guides. Capacity, where you set how many guests each slot can take. Availability, to see what is full and what is left. The heatmap, to understand demand and sell-through. And status, to open, close or make slots private. One click on a tab, and nothing to reload.

Start with Bookings. Need an overview? Switch to month. Planning tomorrow? Jump to day. Week sits in the middle. The schedule reshapes in an instant, so you always see the right amount of detail.

Now choose what your rows mean. Group by activity to see each tour on its own line, by time to see what departs when, by resource, like a boat, to see how each one is used, or by guide to see who is working. Same bookings, four ways to look at them.

And it speaks your language. On a helicopter operation, the calendar talks about flights and helicopters, not generic activities and resources. Whatever your business calls things, that is what your team sees.

Need to focus? Open the filter, choose the activities you care about, and the calendar narrows to just those. Happy with it? Save it as a view and give it a name, like whale watching, and it is there whenever you need it, one click away.

And when something changes, you do not have to go hunting. Click any time slot and its details open right on top of the calendar, including who is booked. Open or close that slot with a single choice, and the calendar updates straight away. One calendar, everything in reach.

That is the idea. One calendar for your bookings, your guides, your capacity and your demand, so you spend less time switching screens and more time running your day. Other videos in this series go deeper on guides, capacity, availability and the heatmap.
